Privacy Policy

BidPilot (“we”, “us”) helps New Zealand trades and SMEs find matching public tenders and purchase one-time response packages (Should You Bid, Check My Bid, Write My Bid). Prices are charged in NZD with no GST on current packages. This policy explains what personal information we collect and how we use it under the Privacy Act 2020 (NZ).
1. Who we are
BidPilot is operated by Ryan Armstrong / BidPilot (New Zealand). Contact for privacy requests: bidpilot.nz@gmail.com.
2. What we collect
- Shortlist / waitlist forms: name, email, trade/capability, region, and any notes you submit.
- Intake forms (paid packages): company details (NZBN optional), tender references, crew/plant, past jobs, H&S, insurance, qualifications, referees, and related uploads you choose to send.
- Accounts (when enabled): login email, profile preferences (regions, categories), usage events needed to run the product.
- Billing: handled by Stripe. We do not store full card numbers on our servers.
- Technical data: IP address, device/browser type, basic analytics pages viewed, and error logs.
- Tender content: public notices from GETS (the government’s tender website) and the fields in its public listings feed (not personal information about you).
3. Why we collect it
- To send your free weekly tender list and product emails you asked for
- To deliver paid one-time packages (matching, checks, reviews, written responses)
- To process one-time payments and prevent abuse
- To improve the product and fix bugs
- To meet legal obligations
We do not sell your personal information.
4. Sharing
We may share limited data with processors who help us run BidPilot, for example:
- FormSubmit (formsubmit.co) — shortlist signup and intake form delivery to our inbox
- Stripe — one-time package checkout and payment processing (we do not store full card numbers)
- Hosting (Cloudflare Pages / Workers)
- Analytics tools (if enabled)
These providers may process data in New Zealand or overseas. Where overseas disclosure occurs, we take reasonable steps consistent with the Privacy Act 2020.
5. Marketing emails
If you join the free weekly tender list, we will email related tender tips and BidPilot updates. You can unsubscribe anytime via the link in those emails. Transactional emails about a paid package (receipts, intake, delivery) may still be sent while we are delivering your work.
6. Retention
We keep shortlist and customer data while we are actively emailing you or delivering a package, and for a reasonable period after inactivity / unsubscribe (typically up to 24 months unless a longer period is required for tax, dispute, or legal reasons). You can ask us to delete your personal information subject to those limits.
7. Security
We use reputable hosting, HTTPS, and access controls appropriate for an early-stage service. No method of transmission or storage is perfectly secure.
8. Your rights
Under the Privacy Act 2020 you may request access to, or correction of, personal information we hold about you. Email the privacy contact above. You may also complain to the Office of the Privacy Commissioner (opens in new tab).
9. Cookies & ads
Our site may use essential cookies and, if you run Google Ads or analytics, measurement / advertising cookies. Update this section with your final tag list before launching paid ads.
10. Changes
We may update this policy. The “Last updated” date will change when we do.
